PDF Customisation

Quotes, Invoices and Purchase Orders can be exported to PDF format, and be downloaded as a PDF file, or sent by email with the PDF file as an attachment.

The layout and fields displayed in the PDF can be customised as follows in the Sales Options menu / Export PDF tab:

Company Logo and Header: You can upload an image (jpg, png, gif, bmp) that will be displayed in the top right corner of the front page. In the Company Header field, you can enter a multi-line text that will be displayed in the top left corner of the front page, e.g. your company name and address.
Recommended Logo Image size:
With Company Header text: Width ~ 300px Height ~ 100px
For Full page width banner, i.e. with no Company Header text : 1200px

Thank you note: Multi-line text displayed just below the table of Products.

Footer: Multi-line text displayed at the bottom footer of each page. Maximum 3 lines.

Custom Fields: The values of the linked Contact or Company Custom fields selected here will be displayed just below the Number and Dates at the top left of the front page.

Display Sales Person: if checked, The Sales Person contact details are displayed below the table of Products, under the Thank You note if present. The Sales Person is by default the Owner of the Quote or Invoice and the details are copied from the Contacts My Team entry.

Style: Classic or Modern, choose between two variants of layout, font style and color. When Modern is selected, it is also possible to choose the color of the Quote or Invoice page title.

Round up Total to 5 cents: if checked, the Total amount of a Quote or Invoice is roundest to the nearest 5 cents. Example: a Total of $50.01 will be displayed as $50.00; $50.04 as $50.05

Display Sales Tax % for each product: if checked, the table of Products in the PDF includes an additional column to display the Sales Tax % for each individual product line. This can be a regulatory requirement in some countries.

Group by Category: if checked, instead of the ordered list of Products, the table of Products in the PDF is displayed by sections corresponding to the Categories the Products belong to, as defined in the Catalog.

Attach Quote/Invoice and Product files: if checked, when sending the PDF by email, the Files and Terms linked to the Quote/Invoice, as well as all Files linked to each of the Products in the Quote/Invoice, are added as attachments to the email.
Terms are copied from each Product when added to a Quote/Invoice, and can also be added or removed in the Edit Quote/Invoice Price tab.
This is useful e.g. if you wish to send out Product datasheets to a Client at the same time as a Quote.

Watermark: when the Text field is filled in, a watermark Stamp displays diagonally across all pages of the PDF export. The color of the text can be customised. This can be used as an identification stamp on the PDF files you send out.
